The Office Administrator is responsible for the efficient day-to-day operation of the Dublin office while providing financial, administrative, operational, and business support to the company as a whole. The role supports senior management across accounts, facilities, marketing, business development, and coordination of tender submissions for public and private sector clients.
Administration & Office Support
- Front-of-house reception duties
- General office administration,
- Document control in line with NSAI Quality Management procedures
Marketing & Business Development
- Support business development through preparation of CVs, project sheets, and capability statements
- Monitor eTenders and private sector opportunities
- Coordinate and submit tender applications
- Assist with maintaining web site, LinkedIn
Facilities & Office Admin
- Maintain storage, archiving, and supplies
- Liaise with building management and service providers
- Procurement of office supplies, PPE, furniture, and IT consumables
- Annual review of office service providers and utilities
- Procurement of employment permits when needed
- Coordinate CPD events, staff induction, training, and conferences
- Maintain professional body memberships and certifications
- In conjunction with senior management, organise office events, staff functions, and seasonal activities
Accounts & Finance
- Support accounts department with day-to-day duties
Skills & Experience
- Experience in office administration or senior administration (experience working with similar consultancies is preferred)
- Strong financial and organisational skills
- Familiarity with tender submissions and eTenders desirable
- Proficient in Sage, MS Office, and document management systems
- Professional, proactive, and highly organised
- Excellent communication skills (written and verbal)
